    What you can expect

A private record with visible boundaries.

Each principle keeps the source of your notes, the organized draft, your permissions, and your final professional judgment easy to distinguish.

    Private by default

Your HairJots and client notes stay in the private workspace connected to your account.

    Your account is the doorway

Open the journal through your account. The public site does not display private records.

    The original note stays

When HairJot organizes a note, the original words remain available for you to review.

    AI creates an editable draft

AI organization gives you a draft to check, correct, and save when it accurately reflects the visit.

    Photos require permission

Only add client photos when you have permission or another lawful basis to store them.

Raw dictation audio is not saved

HairJot does not upload or save raw dictation audio in your account after transcription.

    No automatic sharing

Private journal records are not automatically shared with clients, other hairstylists, or the public.

    Personal information is not sold

HairJot does not sell personal information.

    How the record works

You stay in control of the source and the draft.

HairJot can help make your notes easier to use, but your original words remain available and the organized result stays editable. Review names, dates, formulas, service details, observations, and plans before you save or rely on them.

Use /support for access, correction, export, deletion, or privacy questions. Client information and photographs belong in your journal only when you have permission or another lawful basis.

    Original note and editable draft

HairJot keeps the original note available beside the AI-organized draft. You decide what to correct, keep, or remove.

    Client information stays private

The journal does not automatically share records with clients, other hairstylists, or the public. You remain responsible for lawful collection and use.

    Dictation becomes text

HairJot does not upload or save raw dictation audio in your account after transcription. Browser speech-recognition services may process audio temporarily.

    The details

    Information and choices

The categories below describe the information HairJot may process and the reason each category supports the service.

    Information we process and why

    Account name and email address

Used to create and identify your account, support sign-in and account communication, and respond to requests you send through Support.

    Authentication and account status

Used to protect account access, recognize whether you are signed in, and provide the workspace and access level connected to your account.

    Subscription and billing status

Used to provide the trial and paid access, show plan status, manage access after cancellation, and connect billing actions and receipts to your account. Stripe handles payment-card details, and HairJot does not store full card numbers in its own records.

    User-created HairJots

Used to host, organize, display, search, keep available in read-only mode when applicable, and provide the journal and currently supported export path.

    Original notes and AI-organized drafts

Original notes are kept for review beside the AI-organized draft. The draft helps structure the words you supplied and remains editable before you save or rely on it.

    Client names and service histories

Used to connect visits to the client labels and histories you create, return the right record, and help you find earlier services. You are responsible for having permission or another lawful basis to enter this information.

Formulas, preferences, observations, and future-service plans

Used to preserve the details that help you prepare for later visits, review what happened, and compare information already saved in your journal.

    Photographs uploaded with permission

Used to keep visual references with the related HairJot and make them available in your private record and currently supported export path. Add client photographs only when you have permission or another lawful basis.

    Dictated text and transcription-related information

Used to turn the words you dictate into text that can be reviewed and saved. HairJot does not upload or save raw dictation audio in the account after transcription. Browser speech-recognition services may process audio temporarily, and this policy makes no broader provider-retention or training promise.

Product usage, device, security, and diagnostic information

Used to operate the site, understand product use, troubleshoot problems, protect accounts and records, detect abuse or fraud, and maintain and improve HairJot.

    Support requests and communications

Used to answer account, billing, legal, privacy, data-export, and deletion questions, protect the support channel, and keep the context needed to follow up on a request.

    How private journal records work

HairJot is a private professional working journal. Your journal records are not automatically shared with clients, other hairstylists, or the public. HairJot does not sell personal information.

You choose what to enter and save. Before storing client information or photographs, make sure you have permission or another lawful basis. The original note remains available for review, and AI organization creates an editable draft rather than replacing your source note or professional judgment.

    Service providers and information sharing

HairJot may use service providers for authentication, hosting, payment processing, transcription, AI-assisted features, analytics, security, and support. They may process information only as needed to operate, secure, support, and improve HairJot or the related feature.

This policy uses provider categories instead of making provider-specific promises about retention or AI training. Providers may have their own terms and privacy practices. HairJot may disclose information when needed to provide the service, protect people and the service, prevent fraud or abuse, comply with law, or respond to a valid legal process.

    How long information is kept

HairJot keeps journal and account information while it is needed to provide the account and until a deletion request is handled. Billing records may be kept as needed for billing, accounting, legal compliance, disputes, and fraud prevention. Support, security, and diagnostic information may be kept as needed to provide support and protect the service. Backups may remain until normal replacement or rotation.

HairJot does not promise exact fixed retention periods. Some information may remain when legally required or reasonably necessary for security, fraud prevention, billing records, disputes, or backup restoration. Cancellation or loss of paid access does not automatically delete saved records.

Access, correction, export, and deletion requests

Use the existing Support page at /support to request access to your information, correction of inaccurate information, an export of currently supported records, or account and data deletion. HairJot does not provide a self-service deletion control in the current product, and a request is handled through Support rather than promised as an automatic completion.

If you request deletion, some information may remain for the legal, security, fraud, billing, dispute, or backup reasons described in this policy. We may also need enough information to verify and safely process a request.

    Security

HairJot uses reasonable protections intended to support account access, service operation, and the security of saved records. No online service can promise complete security, so protect your credentials and avoid placing private client details in public forms or messages.

    Cookies and similar technologies

HairJot and its platform providers may use cookies or similar technologies for account and session access, preferences, security, analytics, advertising, and platform behavior. These technologies help the site remember settings, understand product use, protect the service, and measure or support relevant site activity. Available controls may depend on the browser, platform, or provider involved.

    Third-party links and services

HairJot may link to third-party destinations, including account, billing, or support-related services. A linked destination is governed by its own terms and privacy practices. Review those practices before providing information there.

    Children and policy changes

HairJot is intended for hairstylists and other hair professionals who are at least 18 years old. It is not intended for children under 18.

Material changes to this Privacy Policy will be posted with an updated effective date. Review this page when it changes so you can understand the current information practices.

Privacy questions and requests belong on the official HairJot Support page.
